PMOs and portfolio leaders make the hard calls: where to invest, what to stop, and whether the portfolio still reflects strategy. In practice, they’re also chasing timesheets, rebuilding status reports, and reconciling data—activities that can pull time away from work that’s more strategic.
When AI can see an organization’s actual portfolio data, it can take on much of that manual work and help leaders make the bigger decisions with better information.
Planview Anvi® is AI built for that work. It runs inside Planview applications, and teams use it in three ways: they ask it questions in chat, set up agents that run on a schedule, or connect their own AI assistants to interact with Anvi via MCP.
Over the past year, we’ve worked with customers across industries as they’ve built Anvi into their portfolio management. The 14 use cases below come from that work. They range from single questions that once required a custom report to agents that handle recurring work in the background.
“We don’t want Anvi to be an add-on. We want it foundational – built into everything we do.” – Director, Transformation Office
Cross-portfolio coordination
Teams are eliminating recurring manual work in coordination — status reporting, board management, bulk updates, onboarding knowledge — by replacing it with agents and prompts that run automatically.
1. Generating automated weekly portfolio reports
Users have built agents that produce the weekly portfolio status report on a schedule, email it to a distribution list, and add an executive summary that flags newly at-risk work unprompted. The report runs without anyone rewriting the instructions, saving the team time every week.
2. Restructuring and managing boards at scale
Some users run Anvi as a daily operational tool, not just a query interface — organizing Planview AgilePlace card sets into lanes, linking every work item to its parent feature by ID, maintaining structure across a board over time.
Board-management work can now be accomplished through Anvi, using a chat interface instead of manual triage.
3. Executing bulk project updates in a single instruction
Changes in employee roles or responsibilities normally mean days of manual record updates. One instruction — “find all projects in this portfolio and update the project manager to [name]” — generated a proposed change set, waited for confirmation, and then applied the changes. Portfolio-wide updates that took this user days now complete in minutes.
4. Answering onboarding questions from your own documentation
Employees have used the Anvi Knowledge Library to answer common questions new team members always ask — how two similar work request types differ, which thresholds determine each, where a request enters the process. The answers come from internal documentation uploaded to the Knowledge Library.
“I used Anvi to connect, to create, connect all the cards, create the template, and then import in data from a project to populate. And man, it saved me so many hours.” – Technical Product Owner, PMCOE
Portfolio alignment and investment
Teams use Anvi to check whether their portfolio matches their strategy, view the same investment data from each decision-maker’s point of view, and answer questions they once had to rely on custom analytics tools for.
5. Surfacing projects with no strategy alignment
A single prompt can return every project that is funded and running but not tied to a strategic objective. This information helped one organization discover that 10% of their active portfolio was invisible to strategic reporting and needed corrective action.
6. Answering portfolio questions without building a custom report
Questions like how initiatives are performing or where investment is concentrated have usually meant a custom report, a dashboard project, or hours of manual data pulling. Teams now ask Anvi directly and get answers from live Planview data.
Governance at portfolio scale
A PMO running hundreds of active projects and thousands of resources cannot inspect everything manually. Anvi helps teams handle the governance work that was previously too cumbersome to run at that scale.
7. Automating timesheet compliance with a scheduled agent
One user built an agent that runs weekly, identifies overdue timesheets, and emails each person their own submission link directly. No PMO follow-up was required after setup, and compliance became personalized.
8. Running large-scale resource audits in plain language
Queries like “tell me everyone who reports to me that have unsubmitted timesheets” work without field names or portfolio IDs. Anvi resolved reporting relationships from the data and returned the result. An audit across hundreds of resources that would have been impractical by hand ran in a single session.
9. Applying your organization’s governance rules, not defaults
Anvi applies an organization’s internal standards when they’re included in a prompt. One team wrote prompts with company-specific governance rules, such as a custom project close-out timeline and internal lifecycle thresholds, and asked Anvi to flag everything that broke them.
“I’ve never had such a good result getting timesheets done. People were shocked.” – Portfolio Capability Manager, UK
Milestone and gate compliance
Gate reviews and milestone tracking require pulling current status, comparing it against defined standards, and producing a record. Teams are using Anvi to do all three — and grounding the check in their own internal standards, not platform defaults.
10. Checking project closure against your own lifecycle document
One organization uploaded their process documentation to the Knowledge Library, then asked Anvi what remained outstanding before closing a project. Anvi checked against the document and returned completed items alongside what still needed to happen. The process document became a closure checklist any project manager can run, regardless of tenure.
11. Finding initiatives missing required artifacts at approval gates
Many organizations require a business case before an initiative can pass an approval gate. One user asked Anvi to find every initiative that had reached approval without one. Anvi listed them grouped by approval status, and when he asked, it exported the list to Excel.
Capacity and demand balancing
Teams use Anvi to measure workload against their own definition of overallocation, and to catch overbooked people and reserves before those problems cause delays.
12. Flagging capacity risk before it becomes a delivery miss
One organization added its capacity guideline to the prompt, then asked about a specific person’s workload without naming a portfolio. Anvi found the right portfolio, measured the workload against that guideline, and showed the person at 183% utilization, with 323 hours of planned work not yet scheduled.
13. Flagging overbooked reserves and recommending adjustments
Program managers at one health insurer use Anvi as a regular part of their work. It reads reserve effort across their projects, flags reserves that are overbooked, and recommends adjustments. The managers then decide which changes to make and apply them.
Financial planning and performance monitoring
Teams use Anvi to find gaps in the data underneath their forecasts before those gaps reach a plan.
14. Catching unestimated open work before it disrupts forecasts
One organization used a single prompt, pointed at all open tasks: find anything where work status is open, proposed, or on hold but has no hours entered in the estimate field. The check surfaced the gap in unestimated open work before it corrupted a forecast or a resource plan.
Sammanfattningsvis
Each of these use cases takes something off a person’s plate. On their own, they save hours. Together, the benefits go beyond time-savings – they help a PMO evolve into an even greater strategic function for the business.
The hard calls about where to invest, what to stop, and whether the portfolio still reflects strategy stay with you. Anvi gives you more time to make them.
