While certain industries and companies had already been primed for this transition, others have been grappling head-on with the challenges of <\/span><span style=\"font-weight: 400;\">remote team productivity<\/span><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">At Planview, we\u2019re big proponents of remote work. In reality, the opposite is often true: I\u2019ve personally witnessed how remote workers are more likely to work longer hours, and overcompensate for the fact that they are not as visible as they might be in an office setting.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This makes it that much more important to make sure that members of remote teams are getting fulfillment out of the work that they are doing: That they understand how their work plays into the bigger picture, and that they are recognized for their efforts.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In other words, keeping remote teams motivated often has less to do with making sure remote workers are working, and more to do with whether they understand the value of their work and contributions. <a href=\"https:\/\/info.planview.com\/Thriving-Remote-World-_webinar_gen_en_reg.html\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-13520\" src=\"https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-ondemand-webinar-strategies-for-thriving_800x200.jpg\" alt=\"remote-teams-webinar-on-demand\" width=\"800\" height=\"200\" srcset=\"https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-ondemand-webinar-strategies-for-thriving_800x200.jpg 800w, https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-ondemand-webinar-strategies-for-thriving_800x200-300x75.jpg 300w, https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-ondemand-webinar-strategies-for-thriving_800x200-768x192.jpg 768w, https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-ondemand-webinar-strategies-for-thriving_800x200-750x188.jpg 750w\" sizes=\"auto, (max-width: 800px) 100vw, 800px\" \/><\/a><\/span><\/p>\n<p><span style=\"font-weight: 400;\">In his book, <\/span><i><span style=\"font-weight: 400;\">Drive, a<\/span><\/i><span style=\"font-weight: 400;\">uthor and researcher Dan Pink explains that people are most motivated and perform at their best when their work enables them to experience autonomy, mastery, and purpose. <\/span><b>Autonomy <\/b><span style=\"font-weight: 400;\">is our desire to be self-directed. <\/span><b>Mastery <\/b><span style=\"font-weight: 400;\">is our desire to improve our skills. <\/span><b>Purpose <\/b><span style=\"font-weight: 400;\">is our desire to do things that have meaning.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Although it might seem that remote workers inherently have more autonomy in their work, this may not be the case. It\u2019s far too easy for leaders to assign tasks to remote workers without much discussion, making them feel like their role is simply to complete tasks.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We can also tend to over-rely on our assumptions about what skills people may or may not have, or what types of work they may or may not do, missing opportunities to encourage <\/span><i><span style=\"font-weight: 400;\">mastery <\/span><\/i><span style=\"font-weight: 400;\">or communicate a sense of <\/span><i><span style=\"font-weight: 400;\">purpose<\/span><\/i><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">As leaders, it\u2019s our responsibility to make sure that remote workers are included in conversations about what work to do, how it should be done, and to always discuss the <\/span><i><span style=\"font-weight: 400;\">why <\/span><\/i><span style=\"font-weight: 400;\">behind the work that the team is doing. Taking care to understand how people are motivated will help ensure that <\/span><span style=\"font-weight: 400;\">remote team productivity<\/span><span style=\"font-weight: 400;\"> doesn\u2019t suffer due to a lack of motivation.<\/span><\/p>\n<h2><span class=\"ez-toc-section\" id=\"Keeping_teams_aligned\"><\/span><span style=\"font-weight: 400;\">Keeping teams aligned<\/span><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Perhaps the greatest challenge with managing nationally or globally distributed teams is keeping those teams aligned, not just around day-to-day work but around big-picture strategy.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Co-located teams have dozens of touchpoints throughout the day to ensure that they\u2019re on the same page, moving in the same direction, focused on the same goals, following the same processes. Distributed teams have to put intentional effort to recreate this level of alignment &#8212;\u00a0 but it\u2019s not impossible.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The most successful remote teams work to maintain alignment by relying heavily on tools that serve as a \u201csource of truth.\u201d <\/span><a href=\"https:\/\/www.planview.com\/products-solutions\/products\/leankit\/\"><span style=\"font-weight: 400;\">Enterprise Kanban tools<\/span><\/a><span style=\"font-weight: 400;\"> are exceptionally helpful in this regard, creating a shared space for teams, leadership, and internal stakeholders to visualize, track, and manage work to ensure alignment with organizational strategy.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Kanban tools<\/span><span style=\"font-weight: 400;\"> that allow teams to <a href=\"https:\/\/www.planview.com\/resources\/guide\/kanban-project-management-virtual-teams\/how-kanban-tools-improve-productivity\/\">visualize hierarchical relationships<\/a> are particularly helpful, because they help everyone understand how work is connected: Leaders can see how tasks roll up to strategic objectives, and individuals can see how their work contributes to the bigger picture.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><a href=\"https:\/\/info.planview.com\/kanban-101-_ebook_lad_en_reg.html?\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-13521\" src=\"https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-kanban-101-ebook_800x200-1.jpg\" alt=\"kanban-101-ebook-banner\" width=\"800\" height=\"200\" srcset=\"https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-kanban-101-ebook_800x200-1.jpg 800w, https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-kanban-101-ebook_800x200-1-300x75.jpg 300w, https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-kanban-101-ebook_800x200-1-768x192.jpg 768w, https:\/\/blog.planview.com\/wp-content\/uploads\/2020\/05\/planview-kanban-101-ebook_800x200-1-750x188.jpg 750w\" sizes=\"auto, (max-width: 800px) 100vw, 800px\" \/><\/a>Successful remote teams also rely heavily on documentation and transparency to ensure that they\u2019re on the same page when it comes to processes, policies, and the work itself. <a href=\"https:\/\/www.planview.com\/products-solutions\/solutions\/work-management\/\">Work management<\/a> tools that would support this might include:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Centralized overviews that give a high-level view of work, progress, and capacity, allowing team members to stay in sync<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Version-controlled document repositories to guarantee team members are always collaborating on the most recent document(s)<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Communication channels to proactively stay connected in the context of the team\u2019s work<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Additionally, high-performing remote teams hold frequent meetings (e.g., daily standups) to provide a space for any miscommunications to be aired out and mediated. The combination of tracking and managing work in a shared space, communicating with context, and relying heavily on documentation supports remote team productivity by keeping team members aligned and productive.\u00a0<\/span><\/p>\n<h2><span class=\"ez-toc-section\" id=\"Creating_systems_of_accountability\"><\/span><span style=\"font-weight: 400;\">Creating systems of accountability<\/span><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><span style=\"font-weight: 400;\">When we talk about remote work, the topic of accountability often comes up: <\/span><i><span style=\"font-weight: 400;\">How do we know people are doing what they say they\u2019re doing? <\/span><\/i><span style=\"font-weight: 400;\">Leveraging purpose-built technology for tracking and managing work as we\u2019ve discussed usually helps to alleviate those types of concerns.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Equally important, however, is the flipside of this: Making sure that remote workers are maintaining healthy boundaries, so that we don\u2019t lose them to burnout. Just like proactive, intentional communication can help teams ensure alignment, it can also help to create systems of accountability. Some of this is cultural, but the right tools can certainly help:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Using online calendars to set \u201cworking hours\u201d so remote workers don\u2019t feel obligated to attend meetings at all hours of the day<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Encouraging team members to collaborate in a single source of truth, in the context of their work<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Assigning deadlines to time-bound tasks (and visualizing all of your tasks on a Kanban board) to set expectations for when work will be delivered<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Periodically holding meetings to specifically discuss team communication habits and problem-solve any frustrations<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Respecting work-life balance, or better yet, work-life integration, to keep an open mind and provide flexibility for work delivery<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Encouraging team members to proactively communicate about scheduled time off and \u201chard stops\u201d with team members<\/span><\/li>\n<\/ul>\n<h2><span class=\"ez-toc-section\" id=\"Learn_More\"><\/span><span style=\"font-weight: 400;\">Learn More<\/span><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Optimizing remote team productivity starts with recognizing the unique challenges involved with remote work.
