And everyone knows that in the digital age we live in, trying to <a href=\"https:\/\/blog.planview.com\/fostering-collaborative-work-with-virtual-project-management-software\/\">manage your work day through email<\/a> is a fool\u2019s game.<\/p>\n<p>I\u2019ve often classified my job of a PR manager as \u201cprofessional cat herding.\u201d Between moving deadlines and launch milestones and tracking input from all the stakeholders I represent, I often feel like a frustrated wrangler of felines rather than a communications professional.<\/p>\n<p>But my main points aren\u2019t unique to the PR profession. Spreadsheets can be dumb.<\/a><\/li><li class='ez-toc-page-1 ez-toc-heading-level-2'><a class=\"ez-toc-link ez-toc-heading-3\" href=\"https:\/\/blog.planview.com\/public-relations-project-management-turning-professional-cat-herders-efficient-project-managers\/#Whats_this_ProjectPlace_you_speak_of\" >What\u2019s this ProjectPlace  you speak of?<\/a><\/li><\/ul><\/nav><\/div>\n<h2><span class=\"ez-toc-section\" id=\"See_if_this_sounds_familiar\"><\/span><strong>See if this sounds familiar:<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<ul>\n<li>You have your official list of projects and tasks, each tied to one of your annual goals that, in turn, support your company\u2019s overall strategy and corporate goals<\/li>\n<li>You track these in organized folders which correspond to a spreadsheet<\/li>\n<li>You may have even be ambitious enough to color-code your email and online calendar so you can \u201ceasily\u201d track status and projects (Yes, I\u2019ve done that.)<\/li>\n<\/ul>\n<h2><span class=\"ez-toc-section\" id=\"Email_is_not_enough_Spreadsheets_can_be_dumb\"><\/span><strong>Email is not enough. Spreadsheets can be dumb.<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>At past companies, I have often relied on spreadsheets and email, even online document sharing, to track projects, but one or the other is often out of date. Or somebody loses access to the folder. The list goes on.<\/p>\n<p>That spreadsheet is out of date the minute it is saved. And did you give all the right people access to it? That\u2019s okay \u2026 you can share it via email. But wait \u2026 now that recipient has made an update to your document. Will it override your copy? And did you copy everyone on the update?<\/p>\n<p>And that\u2019s just your \u201cofficial\u201d assignments. Where do you park all the one-off requests that come in during the day \u2026 or overnight? How do you keep an eye on them? That spreadsheet doesn\u2019t seem to be the right place, but where else will you be able to track additional tasks in context with your other assignments?<\/p>\n<p>Ruh-roh. It gets real messy, real quick.<\/p>\n<p>When you are managing incoming requests from media as well as the numerous deadlines associated with various articles, news releases, and other projects, it is easy to lose track of which deadline goes with which project and who has reviewed what.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Whats_this_ProjectPlace_you_speak_of\"><\/span><strong>What\u2019s this ProjectPlace  you speak of?<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>When I joined Planview in July 2016, I got access to Projectplace, our award-winning collaborative <a href=\"https:\/\/www.planview.com\/products-solutions\/solutions\/work-management\/\">work management<\/a> software. Each card was assigned a deadline, an owner and a label so I could easily differentiate between news releases and articles, award entries, and media pitches.<\/li>\n<\/ul>\n<p><a href=\"https:\/\/blog.planview.com\/wp-content\/uploads\/2017\/09\/PR-template-2.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-5120 size-full\" src=\"https:\/\/blog.planview.com\/wp-content\/uploads\/2017\/09\/PR-template-2.jpg\" alt=\"\" width=\"1437\" height=\"799\" srcset=\"https:\/\/blog.planview.com\/wp-content\/uploads\/2017\/09\/PR-template-2.jpg 1437w, https:\/\/blog.planview.com\/wp-content\/uploads\/2017\/09\/PR-template-2-300x167.jpg 300w, https:\/\/blog.planview.com\/wp-content\/uploads\/2017\/09\/PR-template-2-768x427.jpg 768w, https:\/\/blog.planview.com\/wp-content\/uploads\/2017\/09\/PR-template-2-1024x569.jpg 1024w, https:\/\/blog.planview.com\/wp-content\/uploads\/2017\/09\/PR-template-2-750x417.jpg 750w\" sizes=\"auto, (max-width: 1437px) 100vw, 1437px\" \/><\/a><\/p>\n<ul>\n<li>Suddenly, I could \u201csee\u201d deadlines, bottlenecks, who was working on what. The\u00a0external\u00a0PR agency I work\u00a0with can easily communicate notes on tasks and projects as easily as adding a comment\u00a0to a card and adding @Jane to the note. If I need to know where a project stands, I simply check that related card instead of wading through a spreadsheet or searching my email inbox.<\/p>\n<p>As an added plus, that inbox is now manageable. More often than not, I can actually see the bottom of it. Mischief managed. Cats herded. Check, check, checkity check.<\/p>\n<p>The advantages of ProjectPlace  go beyond public relations.
