Indeed, with so many organizations \u2013 from small firms to large enterprises \u2013 running multiple projects these days, the question \u201c<strong>what is project management<\/strong>?\u201d might be better phrased as \u201cwhat isn\u2019t project management?\u201d<\/p>\n<p><img class=\"lazyload\" title=\"What is Project Management?\" alt=\"What is Project Management\" height=\"375\" data-src=\"https:\/\/media.planview.com\/clarizen\/wp-content\/upload\/2020\/11\/768x384-blog-banner-project-management.png\" \/><\/p>\n<p>Still, despite the prevalence of <a href=\"https:\/\/www.planview.com\/products-solutions\/solutions\/work-management\/\">work management<\/a> as a framework for everything from launching a small training course to leading an enterprise-wide digital transformation, there are some core fundamental principles that distinguish work management from other approaches to achieving business objectives.<\/p>\n<h2><b>Defining Project Management<\/b><\/h2>\n<p>A classic answer to \u201c<strong>what is project management<\/strong>?\u201d is provided by the <a href=\"https:\/\/www.pmi.org\/about\/learn-about-pmi\/what-is-project-management\" target=\"_blank\" rel=\"noopener noreferrer\">Project Management Institute<\/a> (PMI), which refers to it as a <strong>combination of knowledge, skills, tools, resources and techniques<\/strong> that are applied through <strong>progressive elaboration<\/strong> as part of a <strong>temporary endeavor<\/strong>, in order to create a <strong>unique product, service or result<\/strong>.<\/p>\n<p>To clarify and simplify things, we can unpack this by looking at each of the elements that are <strong>bolded<\/strong> in the definition above.<\/p>\n<p><strong>Element #1:<\/strong> Project management is a combination of knowledge, skills, tools, resources and techniques.<\/p>\n<p>Effective, sustainable and successful project handling requires a mix of capacities and competencies, including (but not limited to):<\/p>\n<ul>\n<li>Integration management<\/li>\n<li>Scope management<\/li>\n<li>Time management<\/li>\n<li><a href=\"\/cost-management-plan\">Cost management<\/a><\/li>\n<li>Quality management<\/li>\n<li>Procurement management<\/li>\n<li>Human resources management<\/li>\n<li>Communications management<\/li>\n<li><a href=\"\/risk-management-techniques\">Risk management<\/a><\/li>\n<li>Stakeholder management<\/li>\n<\/ul>\n<p>Essentially, the key thing to note and remember is that project handling is not a single function. It is a group of functions with their own respective disciplines and special characteristics, which are all managed together in order to achieve clear and viable business objectives.<\/p>\n<p><strong>Element #2:<\/strong> Project management uses progressive elaboration.<\/p>\n<p>The second element is that project handling unfolds through progressive elaboration. This means that the project plan is continuously improved and optimized as more detailed information and accurate estimates become available.<\/p>\n<p>Another way to look at this \u2013 and a fundamental way in which project handling differs from program handling and other work approaches \u2014 is that a <a href=\"\/what-are-the-basic-project-planning-steps\">project plan<\/a> is never \u201ccarved in stone\u201d when work starts. It is only by doing the work that more useful and relevant information becomes available, which is then used to fortify the plan.<\/p>\n<p><strong>Element #3:<\/strong> Project management deals with temporary endeavors.<\/p>\n<p>The third element is that projects are temporary endeavors \u2014 which means they have a definitive starting and end point, unlike programs that are ongoing. However, with this in mind some major projects go through multiple stages and phases. As such, it is a mistake to assume that \u201ctemporary\u201d must mean \u201cshort.\u201d Some projects start and end within a few weeks or months, while others can last for several years.<\/p>\n<p><strong>Element #4:<\/strong> Project management aims to create a unique product, service or result.<\/p>\n<p>The fourth and last element \u2013 and the one that most project managers and their teams find the most exciting and rewarding \u2013 that sheds light on \u201c<strong>what is project management<\/strong>?\u201d is that projects are designed create a unique product, service or result. However, many project managers (and other stakeholders such as PMO staff) wisely rely on templates, tactics, strategies and lessons learned from other projects, in order to maximize the chances of success and minimize risk.<\/p>\n<p>Now that we have unpacked the basics of what is project management, it is helpful to look at some other concepts that are part of the overall concept, including it\u2019s processes, software, and <strong>project manager roles and responsibilities<\/strong>.<\/p>\n<h3><strong>Project Management Processes<\/strong><\/h3>\n<p>The PMI categories all project handling activities into five types of processes: initiating, planning, execution, monitoring and controlling, and closing.<\/p>\n<ul>\n<li><strong>Initiating:<\/strong> processes that are required to launch a new project (or a new phase of an existing project)<\/li>\n<li><strong>Planning:<\/strong> processes that are needed to define and plan the total scope of the project.<\/li>\n<li><strong>Executing:<\/strong> processes that pertain to how the project plan will be executed.<\/li>\n<li><strong>Monitoring and Controlling:<\/strong> processes that pertain to how the project will be tracked, governed and optimized.<\/li>\n<li><strong>Closing:<\/strong> processes that pertain to how a project will be formally completed and archived.<\/li>\n<\/ul>\n<div id=\"content-cta\">\n<div id=\"content-cta-text\">Increase your business agility with Planview AdaptiveWork\u2019s project management software<\/div>\n<div id=\"content-cta-button\"><a href=\"https:\/\/www.clarizen.com\/resource\/product-tour\/\">Take a Product Tour<\/a><\/div>\n<\/div>\n<p>Not all organizations or project managers subscribe to the PMI\u2019s framework or methodology. The marketplace is global and there are numerous solutions that range from legitimate to superficial. Those that earn a spot in the former category are built with features and functions that:<\/p>\n<ul>\n<li>Drive <strong>productivity<\/strong> by making every minute of work count, regardless of whether project teams are co-located in the same office or distributed around the city, country or world.<\/li>\n<li>Drive <strong>visibility<\/strong> by clearly illuminating who, what and how work is being done across the organization.<\/li>\n<li>Drive <strong>adaptability<\/strong> by enabling project managers and their teams to embrace change and exploit opportunities.<\/li>\n<\/ul>\n<h3><strong>Project Manager Roles<\/strong><\/h3>\n<p><strong>What does a project manager do<\/strong>? Again, there is no single, standard job answer to this question. However, the <a href=\"https:\/\/www.apm.org.uk\/jobs-and-careers\/career-path\/what-does-a-project-manager-do\/\">APM<\/a> offers a general job description: \u201cA project manager is responsible for day-to-day management of the project and must be competent in managing the six aspects of a project, i.e. scope, schedule, finance, risk, quality and resources. Project managers work on specific projects that have definite outcomes, have time limits and have to stay within a budget.\u201d<\/p>\n<h3><strong>The Bottom Line and Looking Ahead<\/strong><\/h3>\n<p>Project management is a dynamic approach to achieving business objectives and priorities. And while the concept has been around for many decades, it is constantly adapting.
